Resident is seeking an Executive Assistant for our Co-CEOs and Executive Team. The ideal candidate in this role must be an idea person who is highly-organized, can anticipate needs (thinking ten steps ahead), is super detail-oriented, a smart communicator and savvy gatekeeper who thrives in a fast-paced and remote environment. You should be a resourceful problem-solver and relationship builder, with a can-do attitude and a strong desire to learn and grow. Being a trusted professional who can act as an extension of the leadership team in terms of voice, judgment and decision making are imperative. This person will be responsible for minimizing conflict and maximizing productivity, allowing our team to do their best work.

This is a Remote, Work From Home position. This position will begin as a 90 Day Contract (subject to contract to hire). To be eligible for this position you must reside and be authorized to work in the United States. Preference to candidates in the New York City Metro area.

Responsibilities

  • Full calendar management for our Co-CEOs as primary responsibility and secondary responsibility to the Executive Team including organizing all aspects of calendar management including ad hoc scheduling (booking zoom calls internally and externally, resolving scheduling conflicts, and ensuring the availability of attendees)
  • Will report to the Chief People Officer and will also help the People Team with employee engagement initiatives
  • Assist with logistics associated with team meetings, off-sites, events and activities
  • Coordinate both domestic and international business travel arrangements ensuring tight schedules and well-articulated itineraries that adhere to the company T&E policy
  • Help with expense reports, vendor contracts and invoicing paperwork, purchase requisitions which includes monthly expense reconciliation and on-demand expense reports
  • Ability to maintain confidentiality when dealing with sensitive information
  • Ability to pivot quickly and efficiently as meetings and schedules change
  • General office duties and team support as needed

Qualifications

  • 5+ years of work experience in a fast-paced, EA role (startup experience a plus) for C-level executives.
  • Ecommerce or DTC experience a plus
  • Highly organized and thoughtful with strong customer service skills
  • Experience prioritizing multiple projects
  • Ability to be proactive and problem-solve in a fast-paced, dynamic environment
  • Must be highly competent with a range of modern communication tools
  • Deep experience with Google’s G Suite tools (Gmail, Docs, Sheets, Slides, etc.)
  • Experience with Slack and naturally curious to learn new tech systems- experience with workflow automation is a plus
  • Relationship-builder with experience supporting multiple executives across global time zones and creating connections across remote teams
  • Efficiency expert who leverages creative problem-solving skills
  • Strong organizational skills and heavy attention to detail and polished oral and written communication skills
  • Out of the box problem-solving skills; creativity, flexibility, and innovative thinking
  • Collaborative teammate who partners with other Executive Assistants to support day-to-day team initiatives and drive results
  • Ability to achieve results under tight deadlines
  • Experience comfortably interacting with everyone in the company, regardless of experience or title
