Administrative & Human Resources Assistant (Remote)

Lullabot is seeking an organized and tech-savvy administrative professional who can thrive as part of a friendly, collaborative, service-oriented, remote team. Under the supervision of the Director of Human Resources & Administration, you would be responsible for supporting the efforts and work of many team members and departments at Lullabot. This includes self-managing multiple tasks within a distributed working environment, prioritizing your workload as needed, and communicating project status and personal availability on a consistent basis. The successful candidate will be self-motivated, flexible, detail-oriented, and enjoy working collaboratively with a small admin team. They will also aspire to embody our core values:

Responsibilities Include

  • Assisting the Staff Accountant with processing expense reports, tracking employee budgets and purchases, and addressing team member questions.
  • Assisting the Administrative Manager with software account administration, corporate paperwork, and certificates of insurance.
  • Assisting the Director of Human Resources with the onboarding of new hires, organizing welcome kits, handbook writing and maintenance, and coordinating benefits.
  • Assisting Managers and the HR team with the hiring process by setting up documents, advertising job openings, scheduling interviews, and communicating with applicants.
  • Assisting the Sales and Accounting teams with invoicing by ensuring team members’ hours are recorded in our time tracking software and all reimbursable expenses reported timely.
  • Supporting and contributing to company culture and morale, organizing celebrations, gifts, company events, and team building activities.
  • Addressing the needs of employees and helping communicate company policies and procedures as point person on the admin “Bot Support” team.
  • Other duties as assigned.

Bonus Points

  • Familiarity with general business financial tasks and basic spreadsheet formulas.
  • Experience reviewing and issuing contracts and managing renewals.
  • Training in human resources, or an interest in completing training.

Requirements

  • Must have a reliable internet connection and a willingness to work from home (or anywhere) in a distributed fashion.
  • Must be able to use a computer for up to 8 hours per day
  • Must have experience using web-based computer systems.
    • This position will use Google Drive applications, BambooHR, Dropbox, Paper, Expensify, Noko, and Slack on a regular basis.
    • As a remote worker, you need to have a good understanding of the technology you use and the ability to troubleshoot many of your own problems with phone or web assistance.
  • Must be able to travel 2-3 times per year in the United States for retreats, meetings, conferences, etc. Travel will be limited initially due to Covid-19 considerations.
  • Associates degree and at least 2 years of experience coordinating projects or supporting the administrative function is preferred.
  • Some related experience working remotely is required.
  • We are looking for a full-time (40 hours per week), U.S.- or Canada-based employee. Must be legally eligible to work in one of these locations and overlap 4 hours of your schedule to typical US work time zones (8 am ET to 6 pm PT). Specific hours may vary based on team needs.

Starting Salary Range: $40,000-$55,000 annually, pay will be commensurate with experience.
