Title: Administrative Associate

Location: Johnson City, Tennessee; United States – Remote

Job Summary
The Administrative Associate is responsible for assisting the Project Coordinators with daily emails for ongoing clinical trial study projects, requests, and specifications. The Administrative Associate is not assigned to studies.

Essential Duties and Other Responsibilities

  • Provides immediate response to all Project Manager’s queries and concerns.
  • Serves as the secondary project contact with Sponsors and Contract Research Organizations to ensure appropriate communication channels are maintained.
  • Assists in managing result turnaround with external referral laboratories.
  • Interfaces with, but not limited to, the following: Project Management, Sponsors, investigator sites, reference laboratories, Investigator Support Services, Clinical Trial Materials, Information Technology, Data Management personnel, and Chief Executive Officer.
  • Assures that new and updated site information is completed and acceptable prior to kit shipments for trial specific protocols.
  • Assures all investigators’ site information is accurate and up to date in applicable databases.
  • Management and follow-up for sites that are not active but have reports available.
  • Assists in maintaining study status in SharePoint.
  • Provides assistance on supply requests, corrections, patient reports, and other inquiries and concerns, asking for project management assistance, when necessary.
  • Processes Lab Reporting Access Forms upon submission from the client
  • Addresses escalated site queries through communication with the investigator site contacts
  • Creates commercial invoices for successful international shipments of study supplies and samples
  • Requests sample shipments to secondary laboratories
  • Tracks shipments to ensure successful delivery of study supplies and samples
  • Assists Project Managers with study documents, such as the distribution of site memos
  • Exhibits an understanding of each protocol.
  • Serves as a reference point for clinical investigators, handling questions, concerns, and complaints.
  • Performs other related duties and tasks as necessary or as assigned.

Education/Experience
Associates degree or university program certificate or four to six years related laboratory experience or experience in the clinical trial industry and/or training, or equivalent combination of education and experience. Experience in customer service and Microsoft Office applications are preferred. The candidate must possess excellence in organization, communication, multitasking, and interpersonal skills.

Language Ability
Must possess the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. The ability to write reports, business correspondence, and procedure manuals is needed. The ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public is necessary.

Math Ability
The ability to calculate figures, amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume are helpful. Also, the ability to apply concepts of basic algebra and geometry are preferred.

Reasoning Ability
The ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists is necessary. The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form is preferred.

Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office applications, word processing software, spreadsheet software and database software.

Certificates and Licenses
Certification as an ASCP Medical Technologist and/or Registered Nurse is preferred.

Supervisory Responsibilities
This position does not have any supervisory responsibilities.

Work Environment
The noise level in the work environment is usually moderate.

Physical Demands
The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus. While performing the duties of this job, the employee is frequently required to stand; sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to reach with hands and arms.
