Shelf Engine is searching for an Executive Assistant to join our growing team. In this role, you will provide support to the executive team (calendaring, travel, expense reports, etc.). This will include execution of the day-to-day needs of our executive team, as well as serving as a back-up for office management.

The ideal candidate is someone who thrives in a collaborative team environment and can effectively manage deadlines and priorities in a fast-paced work setting. We’re looking for a strong problem solver, someone who can confidently take the initiative to ask questions when answers aren’t clear, navigate roadblocks, and take complete ownership for the tasks they are asked to do through completion. Extraordinary discretion is paramount since you’ll be handling sensitive matters and must be uncompromisingly trustworthy with keeping information appropriately in confidence. Judgment is critical in this role, and this person should have the ability to make sound, wise appraisals when all information may not be available, and know how to think critically through complex issues.

This position is based in Seattle.

As an Executive Assistant at Shelf Engine, you will:

  • Manage calendars, liaising with internal and external stakeholders
  • Prepare confidential correspondence, reports and other complex documents
  • Handle communication between management and employees on various projects and tasks
  • Create and oversee all expense report tasks and partner with Accounting team as needed
  • Book and manage detailed travel plans and itineraries
  • Take on ad-hoc projects, impacting company and team-wide goals

What we are looking for in a candidate:

  • You embrace our company principles: make the first move, make better decisions, be furiously curious, commit and deliver, have empathy, invent solutions, be authentic
  • A minimum of 3 years of office/administration experience with at least one year of executive team support.
  • Experience using software systems including but not limited to Gmail, Zoom, Notion, Slack, G-Suite, Dropbox, LinkedIn and/or the ability to quickly learn new tools, as well as Internet research abilities
  • Project coordination experience and ability to work well with all levels of internal management, staff and outside clients and vendors.
  • Ability to think on your feet with strong problem-solving skills.
  • Exceptional verbal and written communication skills
  • Ability and willingness to manage the needs of multiple leaders.
  • You are authorized to work in the U.S. for any employer.
