Job Description

Title: Marketing Project Manager
Weekly Workload: 35 hours
Work Schedule: Must work within 9-5pm Pacific Time Zone

Role Description:

Are you ready to be the heartbeat of our vibrant Marketing Team? We are on the hunt for a dynamic and experienced project manager to join us and keep the magic flowing! You’ll be the go-to person ensuring all our marketing projects run seamlessly, stay on track, and maintain top-notch communication among our talented team members. Your steady hand will be especially vital during our thrilling launch seasons, where the pace picks up and every detail counts.

As our Marketing Project Manager, you'll have your hands in a variety of exciting projects, including funnels, social media, partnerships, podcasts, websites, blogs, and email newsletters. You’ll collaborate with an eclectic mix of professionals including a marketing agency, paid media buyer, social media manager, copywriter, designer, partnership manager, podcast managers, video editor, and high-ticket closers.

With the backup of our dedicated Marketing Coordinator, your mission is to align all marketing projects with our annual vision and goals set by our founder. While final content approvals fall to the Marketing Leader and the founder, you’ll have the power to make day-to-day decisions and approvals.

3 Key Areas of Responsibility:

Project Planning:

Define project goals, objectives, key milestones, and desired outcomes.
Identify potential challenges and develop contingency plans.
Determine necessary resources (human, financial, tech) and appoint project teams.
Use ClickUp to create detailed project timelines, including milestones, deliverables, tasks, guidelines, and deadlines.

Coordination of Execution:
Lead and motivate the project team, ensuring clear communication and collaboration.
Act as the point of coordination for all activities and ensure everyone understands their roles and responsibilities.
Monitor project progress using ClickUp, Slack, and Zoom.
Report on project status, team performance, and progression.
Oversee task quality and facilitate day-to-day approvals and decision-making.

Data Analysis & Reporting:
Gather all project-related performance data and metrics.
Analyze data to evaluate project effectiveness, identify trends, and suggest improvements.
Compile detailed reports on project performance and present these to the team, highlighting achievements and recommending improvement strategies.

A Typical Week:

Daily Check-Ins:
Begin each day with a quick review of project statuses and priorities using ClickUp. Conduct a brief check-in with the Marketing Leader to align on the day’s tasks and address any immediate needs.

Weekly Planning Sessions:
Host weekly planning sessions with project teams to outline the week's objectives, assign tasks, and set deadlines. Address any concerns or roadblocks that could impact project timelines.

Project Overseeing:
Engage in regular communication with team members via Slack for asynchronous updates and Zoom for synchronous meetings. Coordinate with project teams and optimize workflows.

Quality Review, Decisions, and Approvals:
Allocate time daily for reviewing and approving delivered tasks, ensuring alignment with project plans and goals. Prepare and present materials requiring final approval to the CEO or founder, as needed.

Project Progress Tracking:
End each week with a review of project achievements against KPIs, analyzing successes and identifying areas for improvement. Share insights and progress reports with the CEO and prepare for strategic adjustments for the upcoming week.

Requirements for Marketing Project Manager:

Experience & Expertise:
Proven experience as a Project Manager, preferably in a marketing or digital environment. Bonus points if you have experience in the coaching industry
Experience working on multiple six figure launch campaigns as the launch manager
Strong understanding of marketing principles and project management methodologies.

Skills:
Excellent organizational and multitasking skills to manage various projects simultaneously.
Strong leadership and team management skills.
Exceptional communication skills, both written and verbal, to coordinate effectively with a diverse team.
Analytical skills to assess project performance data and identify improvement areas.

Personal Qualities:
Ability to think quickly, process information efficiently + execute tasks with accuracy.
Detail-oriented and proactive in identifying and solving potential project challenges.
Ability to thrive under pressure, particularly during high-intensity launch seasons.
Strong decision-making capabilities with the authority to make day-to-day approvals.

Technical Skills:
Proficiency in using project management software ( Expertise in ClickUp is highly desirable) and communication tools (e.g., Slack, Zoom).
Competency in data analysis and reporting to evaluate project effectiveness.

Team Collaboration:
Ability to work collaboratively with various team members, including external agencies and contractors.
Strong interpersonal skills to motivate and lead a diverse team of marketing professionals.

Availability:
Ability to commit to a 35-hour work week with flexibility during peak project periods.
