Assistant Project Manager Facilities, Construction & Design

The Assistant Project Manager assists with the project management of Madison Reed’s Hair Color Bar development process, including coordinating materials ordering and coordinating their arrival on site, processing POs and invoices, tracking and reporting on project costs, tracking project timelines and other miscellaneous project coordination/management responsibilities related to Hair Color Bar development. The Assistant Project Manager is the key administrative professional on the team.

The ideal candidate will be obsessed with organization, administration, processes, and systems. They will need to be energetic, a self-starter, deadline-driven, and detail-oriented. They will also need to be able to communicate with all levels of individuals within and outside the organization while successfully managing multiple tasks. ****

What you will do:

  • Identify, propose, and seek approval for refresh projects needed for existing locations.
  • Develop scope, budget, and timelines for refresh projects and put out to bid.
  • Coordinate refresh projects with local staff and manage the project to ensure no disruption to the store’s operation.

Track all project costs and report out regularly.

  • Execute all vendor contracts and, coordinate payments with the finance department, and assist with vendor setup through Netsuite/Bill.com.
  • Receive, review, and track all vendor invoices, submit to accounting and approve through Netsuite/Bill.com.

Maintain all contracts, drawings, permits, and certifications per project.

Provide Landlord with renderings, fit plans, project materials (as requested) and signage submittals as part of the lease exhibits.

Set up all initial utilities for new Hair Color Bars.

Maintain interior sign specifications and coordinate site-specific graphic asset lists; manage an asset spreadsheet; dictate creative timelines; and liaison between the Creative and Construction departments.

Distribute and maintain construction schedules with key vendors: lighting, flooring, millwork, etc. to lock down lead times and delivery dates.

Any other tasks as requested.

The base salary range for this position is between 85k up to 90k. At Madison Reed, we aim to pay competitively. Factors which may affect starting pay within this range may include geography/market, skills, education, experience, and other qualifications of the successful candidate.

What you will need:

  • Minimum 3 years administrative and/or project coordination experience.
  • Must be able to meet deadlines, keep schedules, and perform at a high level in a fast-paced environment without compromising quality.
  • Strong attention to detail and excellent with numbers.
  • Advanced skills with Microsoft Office and Excel and google docs/sheets.
  • Strong interpersonal skills and takes direction well.
  • Ability to work autonomously, take direction, and effectively under pressure.
  • Ability to travel as needed.
